Reporting to the Director of Food Services, this position is responsible for the coordination of inventory and procurement for the patient food services department and for the implementation and maintenance of the food services IT system. Additionally, they ensure purchased products meet specifications, implement and monitor Quality Assurance programs, and supervise Diet Technicians and the processes within the diet offices.

Now, if you were to come on board as one of our Manager of Purchasing, we’d ask you to do the following for us:

Purchasing
• Responsible for ordering of all food and non-food items required in the department
• Follows up on any supplier issues (e.g. quality, quantity and delivery problems)
• Oversees inventory processes; ensures maintenance of appropriate inventory, par levels and reorder points; controls inventory costs
• Assists in the preparation of CIMS and Orbit reports and weekly operating reports, and investigates variances
• Ensures proper storage and rotation of stock
• Ensures items are purchased according to specifications. Identifies opportunities for achieving/decreasing food and supply costs
• Communicates changes of products, shortages and substitutions to affected areas
• Liaise with vendors, receiving, finance, purchasing and IT department as needed
• Follow up with all recall notices and takes appropriate action
• Provides on the job training to ensure the continuous development of employees (FIFO, receiving logs, production tallies, tempering sheets)
• Actively participates in training sessions, meetings or special projects as required.

Production
• Creates and adjusts tempering and stock rotation sheets for receivers
• Reviews and changes in-house recipes
• Creates, adjusts and distributes production worksheets and waste logs

Diet Office
• Completes work schedules for Diet Technicians and makes changes for time off requests
• Counsels staff, documents incidents and follows up on necessary disciplinary steps
• Maintains and modifies employee task analysis and updates job routines as required
• Completes performance appraisals for staff, in accordance with hospital policy
• Provides regular training to staff on diet information, software program, and tablet use
• Implements and/or maintains IT system by keeping database up-to-date
• Installs and tests hardware and software upgrades/enhancements and interfaces
• Updates dietary software with menu changes, including changes, additions, or deletions in nutritional information, pricing, coding, or other
   information of new or existing products; communicates changes to all affected
• Maintains Week at a Glance nutritional data in dietary software system
• Works with Clinical Nutrition team to ensure nutrition standards, diet goals, and compliancy’s are met and maintained
• Adjusts dietary software to reflect changes of products and substitutions
• Updates dietary software with changes in nursing units, including room and bed numbers
• Troubleshoots errors with dietary software and department tablets within a timely manner

Quality Assurance
• Ensures that food quality and safety standards are met through frequent inspections and audits.
• Demonstrates familiarity with WHMIS, and disaster and other emergency procedures
• Demonstrates good safety habits including wearing/using any required protective clothing or equipment and ensuring staff follow same
   requirements
• Provides regular training to staff on QA topics, including Health and Safety, and Safe Food Handling standards
• Reports any accident or incident and co-operates fully in any investigation

• University undergraduate degree in Nutrition and Food Service Administration, or Food and Nutrition Services Diploma from an approved
   Community College, or an equivalent combination of education and experience
• Member of the Canadian Society of Nutrition Management or Registered Dietitian
• Minimum of 2 to 3 years’ experience the Food Service Industry within Hospital or Long Term Care/Retirement environment
• Minimum 2 years’ experience in purchasing capacity
• Strong analytical capabilities and problem solving skills
• Software systems knowledge, including Microsoft Office Suite and CBORD
• Excellent organizational skills
• Demonstrates flexibility and adaptability to changing work routines or priorities
• Superior verbal and written communication skills; excellent interpersonal and customer service skills
• Comprehensive knowledge of safe food handling practices (Advanced Food Safety Certificate required) and Health and Safety practices (Health and Safety Management 201 required)
• Maintain up-to-date knowledge of best practices in food services and nutrition management
• Detail oriented
